Real Estate Admin

Commercial property administration runs on details. Purchase orders that don't get coded correctly throw off your NOI reporting. Delinquency letters that go out late push aged receivables into the 60-day column. Vendor COIs that lapse put the property at risk. This role at Lincoln Property Company in Savannah keeps all of that moving, and it demands someone who treats administrative accuracy as a genuine discipline, not a background task.

The Skills This Role Uses Every Day

Real estate accounting fluency sits at the center of this position. You'll apply tenant rents, reconcile open credits, organize and code invoices in Workspace, and compile tenant billings and miscellaneous charges. If you've worked through a monthly accounting cycle before, including A/P, A/R, and lease charge structures in a commercial context, you already understand the rhythm. MRI, Workspace, and Yardi experience will let you move faster from day one. Beyond the numbers, you'll need strong vendor coordination skills: monitoring contractor compliance, tracking certificates of insurance, and helping prepare and administer service agreements. These aren't one-time tasks. They recur every month, every quarter, every lease cycle.

Communication ties everything together. You're fielding calls from tenants, routing messages to the right people, and keeping the property management team informed with aged delinquency reports and purchase order status updates. Clarity and professionalism in every interaction matters because this role touches both the tenant-facing side and the owner-reporting side of the operation.

Responsibilities in Practice

  • Manage the full purchase order workflow: issuance, tracking, and matching POs to invoices as they process for payment
  • Run monthly reports and flag unresolved purchase orders before they create bottlenecks
  • Assist the Chief Engineer with the electrical analysis worksheet as utility invoices arrive (relevant if the property uses RUBS or direct billing structures)
  • Maintain tenant files, filing systems, and the property staff directory
  • Coordinate tenant events, including seasonal programming and community initiatives
  • Provide aged delinquency reports to the management team and send late letters on schedule
  • Support accounts payable and accounts receivable functions and assist with reporting

This is a 100% in-office position in Savannah working standard business hours. No remote or hybrid option.

What Separates Strong Candidates Here

Lincoln manages more than 680 million square feet of commercial space across institutional clients. At the property level, that scale means the administrative systems and reporting standards are real and enforced. Candidates who thrive in this environment already respect the monthly accounting close. They know that an uncoded invoice or a missed delinquency report doesn't just create internal noise. It affects what an owner sees on their statement. The strongest applicants will bring at least two years of commercial property management experience, genuine comfort with Yardi or MRI, and the kind of organized independence that doesn't need daily direction to stay on top of recurring deadlines. An associate's or bachelor's degree is preferred alongside the high school minimum.

If you've been in a commercial PM admin role and want to deepen your accounting and operations exposure within a well-structured platform, this position gives you direct access to the full property finance cycle.
