Assistant Property Manager

Skills That Drive This Role

This Assistant Property Manager position at Lincoln Property Company in San Rafael puts your financial fluency and tenant relationship skills to work across commercial, industrial, and retail assets. The day runs on numbers and deadlines: monthly reporting packages, CAM reconciliations, vendor invoice reviews, and budget support all demand someone who can move quickly without letting accuracy slip. If you're comfortable calculating operating expense reconciliations and translating those figures clearly to clients and tenants, you'll fit the rhythm here. Intermediate to advanced Excel is a baseline expectation, and familiarity with AP and CMMS platforms will shorten your ramp-up significantly.

Lincoln's commercial portfolio is institutional in scale, which means your reporting has to meet client-grade standards. You're not just pulling numbers together; you're helping the Property Manager deliver packages that ownership groups actually rely on for decision-making. Lease administration is another core skill set this role exercises constantly, from initial setup through changes and terminations, coordinated across applicable systems and tied closely to tenant move-in and move-out documentation.

Day-to-Day Operational Responsibilities

On the tenant side, you'll respond to service requests and coordinate building staff and vendors to resolve issues in line with lease obligations and company procedures. Vendor management includes reviewing invoices for accuracy and compliance with the management agreement before recommvals go forward. You'll also support procurement and bidding activities as the team sources contractors and service providers.

Property inspections happen monthly at minimum, so you'll spend time on-site at assigned assets, not just behind a screen. Walk-throughs with tenants, the property manager, and tenant improvement teams are part of how you track asset condition and maintain relationships. Emergency response planning is a real part of the job, including participation in drills and training. This is a fully in-office position based in San Rafael; remote or hybrid arrangements are not available for this role.

  • Bachelor's degree preferred; 1 to 2 years of commercial real estate or related experience
  • Working knowledge of financial terms and the ability to conduct basic financial analysis
  • Proficiency with Microsoft Office Suite at an intermediate to advanced level
  • Experience with AP and CMMS systems is a plus
  • Strong written and verbal communication skills across tenant and ownership audiences
  • Organizational discipline to manage multiple reporting deadlines simultaneously

What Sets Strong Candidates Apart

CAM reconciliations are where a lot of assistant managers struggle early on. Candidates who already understand how to allocate operating expenses across a tenant roster, and who can communicate those reconciliations clearly when tenants push back, tend to build credibility fast. The salary range of $80,000 to $95,000 reflects Lincoln's expectation of someone who's already past the fundamentals. Lincoln's platform spans more than 720 million square feet across asset types, so the learning environment here is broad. Strong performers in this role typically progress toward full property management responsibility on a commercial asset within two to three years, either within Lincoln's national portfolio or with the institutional-grade experience this role builds.
