Administrative Assistant
Property Management AssociatesAttention to detail, calendar management, and the ability to hold many open threads at once without dropping any. Those are the core skills this role runs on. Property Management Associates is hiring an Administrative Assistant to support both their Residential Department and their COO out of Culver City, and the scope is genuinely wide.
What the Work Actually Looks Like
On any given day you might be updating listings on RentCafe, auditing utility accounts, tracking down a city ordinance update that affects a property in the portfolio, and then pivoting to manage the COO's calendar before end of day. The residential portfolio runs into the thousands of units across Los Angeles and Orange County, so the data you maintain (spreadsheets, databases, advertising records) has real downstream consequences. Inaccurate listings mean bad traffic. Missed utility setup steps mean billing headaches that property managers have to untangle later.
You'll also occasionally provide front-office support at individual properties throughout LA and Orange County. That's not a surprise drop-in request, but it is part of the job, so you'll need to be comfortable working across locations and interacting with residents, vendors, owners, and site staff with the same professionalism you'd bring to a corporate setting.
Training coordination also falls to this role. Keeping residential department training schedules organized and on track requires the same follow-through muscle as the rest of the job: knowing where things stand, what's outstanding, and what needs a nudge.
Skills That Make Someone Good at This
- Intermediate to advanced Excel and Outlook. Spreadsheets are central here, not occasional.
- Strong written communication. You'll be drafting correspondence to a wide range of people, residents to ownership.
- Comfort learning new online systems quickly. RentCafe and similar platforms aren't complicated, but you have to be willing to figure them out without hand-holding.
- Genuine organizational discipline. Not the "I'm a pretty organized person" version. The kind that holds up when you have six competing deadlines.
- Yardi experience is a plus, as is any background in residential property management.
The honest difference between a strong candidate and an average one here is initiative. The COO and the residential department need someone who tracks things down before being asked twice and flags problems early. If you need step-by-step direction to complete most tasks, this role will feel like friction for both you and the team.
The Company and the Role's Place in It
PMA has operated in Southern California for over 30 years and manages both residential and commercial properties at scale. For someone earlier in their property management career, the exposure in this role is real: you're working directly with a COO, touching regulatory research, advertising operations, utility billing, and training logistics across a large portfolio. Those are threads that connect to property accounting, compliance, and operations work. If you eventually want to move into a property manager role, a regional coordinator position, or an operations-focused role at a larger company, the visibility you'd build here is useful.
Compensation runs $24 to $26 per hour. Benefits include medical, dental, vision, and life insurance with employer contribution, a 401(k) with company match, and paid time off. There's also an early Friday release. The role is full-time and based in Culver City.
