A resident stops by the office to sort out a documentation issue before her annual recertification appointment. You pull her file, walk her through what's needed, and schedule a follow-up. That kind of interaction is the center of gravity for this role at Fetters and Celestina Gardens, two affordable communities in Sonoma managed by MidPen Housing.

What This Role Covers Day to Day

MidPen has operated affordable housing across Northern California since 1970, and their property management teams carry real weight in that mission. As Assistant Community Manager, you report to the Community Manager and share responsibility for keeping two properties running with care and precision.

The compliance side of this work is substantial. Affordable housing operates under layered regulatory requirements, and this role touches all of them: income verifications, lease preparation, waitlist management, and assistance with recertifications, welfare exemptions, MOR reviews, and TCAC compliance. If you've worked in affordable housing before, you already know how carefully these processes need to be tracked. If you're coming from general residential property management, expect a meaningful learning curve on the compliance side, and plan to invest time in it.

Beyond compliance, the role covers rent collection, security deposit processing, petty cash logs, and bank deposit preparation. You'll also schedule vacancies, prepare and monitor turn forms, coordinate maintenance inspections with facilities staff, and make sure work orders move through the system without stalling. Regular property inspections keep you connected to physical conditions on the ground, and you'll maintain resident and property files with appropriate confidentiality throughout.

Resident relations here go beyond collecting rent and issuing notices. MidPen's Resident Services team works alongside property management, which means the people living at these communities have real support structures around them. Your job includes communicating emergency preparedness procedures, coordinating resident meetings, and maintaining working relationships with local law enforcement and emergency agencies.

What MidPen Is Looking For

  • High school diploma or GED, plus at least one year of residential property management, customer service, or administrative experience (or an equivalent combination)
  • Proficiency in MS Office; experience with RealPage is a plus
  • Strong written and verbal communication skills
  • Organized, detail-oriented, and able to manage multiple tasks with minimal supervision
  • Genuine alignment with MidPen's mission of providing stable, dignified housing to people who need it

Candidates who stand out in affordable housing roles at this level tend to be people who take compliance seriously without losing warmth in their resident interactions. The recertification process can feel bureaucratic from the outside, but handled well, it's one of the most direct ways a property team keeps residents housed and stable. That dual focus, accuracy and relationship, is what separates strong candidates from those who struggle.

Pay ranges from $21.15 to $23.80 per hour based on experience.
